Building on Existing Solutions Over Time

The Provincial Health Services Authority of BC draws on Softlanding’s SharePoint experience to maximize the success of its custom SharePoint solution.

  • 10,000+ employees
  • Canada’s first Health Authority headquartered in Vancouver, BC to ensure BC residents have access to high-quality health care services
  • Government Agency

  • Provincial Health Services Authority of BC’s (PHSA) employees and stakeholders needed a central platform to collaborate on projects and easily access policies, practices and programs.

  • PHSA needed to address redundant information and resolve the growing pains of the site's more popular areas which proved to be hard-to-navigate and unable to accommodate additional team sites as more users came onboard

  • Costs of collecting and disseminating information needed to be reduced to keep with tight governmental budgets

  • As the number of employees increased, PHSA needed an easily searchable database to locate employees and retrieve information

  • Through proper discovery and planning, our user experience consultant collected user input and conducted focus groups to identify areas requiring improvement

  • Softlanding developed and implemented a custom solution called ‘OHS Connect’ on a SharePoint platform. Acting as an extranet and collaboration platform, the new system met all of the organization's challenges and helped them manage information and services much more efficiently, including allowing them to better administer PHSA’s initiatives across the province

  • To ensure that the budget and timeline ran accordingly, regularly scheduled meetings where project requirement and solutions were thoroughly outlined were conducted

The Results

Improved Efficiencies and Ease of Use

OHS Connect users have experienced major improvements in both efficiencies and ease of use, "It's updated, easier to access, and easier to navigate," says Catherine Ogden, Manager of Knowledge Solutions at PHSA. "The biggest time savings have been with our upgraded custom team sites. The template we have now is quick so we can set up a new team site in less than a minute."

Single Point of Entry for All Resources

All six health authorities within BC now had a single point of entry to access policies, practices and to facilitate development and educational initiatives

Better Collaboration

Collaboration increased among all six of BC’s health authorities as employees were able to facilitate development and educational initiatives as a cohesive team, rather than as silo-ed organizations

Improved Search Functionality

Employees are now able to search via job function and location to get the right people working on the right projects

"We've always had a great experience working with Softlanding. Our entire upgrade, from planning to implementation, was a very smooth experience. They brought to the table excellent SharePoint expertise, good project management skills and a responsive and available team, all of which I think were key players in the success of the project. We knew we could rely on Softlanding to carry the torch with the back-end aspects of the project because we had that relationship and knew they were reliable and would deliver a good final product. "
